ROLE OVERVIEW:
The Office Manager will play a vital role in the efficient functioning of the directorate by organizing office operations and procedures critical to the daily activities of the Director. The Office Manager will maintain the Director’s schedule, maintain effective documentation of records, ensure appropriate communication and correspondence, and maintains professional and technical knowledge for the effective running of the office. In this regard, he/she should be quite accessible and responsive in the face of competing demands from both internal and external parties.
ROLE AND RESPONSIBILITY
- Coordinate activities of the office of the Director and allocate tasks and assignments to ensure effective delivery of service;
- Provide office support for the efficient functioning of the office of the Director;
- Organize office operations and procedures efficiently;
- Liaise with other directorates to ensure effective operations of the office;
- Schedule appointments and bookings of the Director;
- Manage incoming and outgoing correspondences, documentation;
- Develop and maintain and an efficient and effective electronic and manual filing systems;
- Ensure security, integrity and confidentiality of information,
- Implement innovative office management techniques to improve operational efficiency;
- Manage visitor enquiries, complaints and reports;
- Provide general support to visitors;
- Undertake other duties as may be assigned by the director.
ACADEMIC QUALIFICATIONS AND EXPERIENCE
- Bachelor’s Degree or equivalent in Administration or related field from a recognized university;
- 6 years of progressively responsible experience in Office Management, Personal Assistant Role or Secretarial;
- Knowledge of related computer software and relevant enterprise content management (ECM) filing systems and correspondence-related procedures, guidelines and processes to preparing and using administrative documents and templates.

- Ability to detect and correct errors and to keep accurate records ;
- Ability to organize routine tasks, identify solutions to address conflicting priorities, new or changing tasks;
- Ability to provide accurate and complete information to supervisor/co-workers/clients as requested, using good judgment, tact and diplomacy;
- Ability to develop work goals and identify the steps needed to achieve these goals;
- Proficiency in information communication technologies (ICT) MS Suit;

LANGUAGES:
- Must be fluent in oral and written expressions in any two of the ECOWAS official languages of the Community (English, French, & Portuguese). Working knowledge of third language will be an added advantage;

Candidates must not be more than 50 years of age at the time of recruitment (This does not apply to internal candidates) and must be an ECOWAS citizen.
